AI SDR vs Human SDR: The Real Cost per Booked Meeting

Short answer: a human SDR or appointment setter usually costs several thousand dollars a month once salary, commission, tools and management are added, which puts the cost of each booked meeting anywhere from about $100 to several hundred dollars. An AI appointment setter costs a monthly plan plus phone minutes, so the cost per meeting is usually in the single or low double digits. Step 1: what a human setter really costs

Salary is only part of it. A realistic monthly cost for one full-time US setter includes:

  • Base pay and commission: total yearly compensation in the US is commonly in the $60,000–$90,000 range, so roughly $5,000–$7,500 a month. Offshore or part-time setters cost less, often $1,500–$3,000 a month.
  • Payroll taxes and benefits: often another 15–30% on top of pay for employees.
  • Tools: dialer, CRM seat, data, phone line: a few hundred dollars a month.
  • Hiring, ramp-up and turnover: weeks of recruiting and training before a new setter is fully productive, repeated whenever someone leaves.
  • Management time: someone has to coach, review calls and track numbers.

For a conservative example we'll use $4,500 a month, a lean figure for one setter with overhead.

Step 2: how many meetings they book

This depends on your leads more than on the setter. Inbound leads (demo requests, quote forms) book far more often than cold lists. Let's take a business with 300 new inbound leads a month and assume that calling them quickly books 8% of them: 24 meetings a month.

If one setter can work all 300 leads at that rate:

$4,500 ÷ 24 meetings = about $188 per booked meeting.

In reality, a single person can't call every lead within minutes, day and night. Leads that arrive at 9 p.m. or on Sunday wait until the next shift, and the booking rate drops with every hour that passes. Harvard Business Review found that companies that reach out within an hour are about seven times more likely to qualify a lead than those that wait longer, yet the average response time was 42 hours.

Step 3: what the AI version costs

Where humans still win

An honest comparison has to say this: AI setters are best at speed, consistency and volume on leads who expect your call. Humans are still better at:

  • Complex, high-value deals where the first call is already a negotiation.

  • Relationship selling where the setter and the closer are the same person.
