How to Call Web Leads in Under 60 Seconds (Zapier, Make or Your Backend)

Short answer: to call web leads in under 60 seconds, connect your form to a tool that starts the call automatically the moment the form is submitted. Why the first minute matters

When someone fills in your form, they're thinking about you right now. An hour later they're comparing you with two competitors; tomorrow they've forgotten which tab was yours. Harvard Business Review found that companies reaching out within an hour were about seven times more likely to qualify a lead than those who waited, and the average response time was 42 hours. What you need

  • A form that collects at least a name and phone number (email helps for the calendar invite), with consent to be called. See is AI calling legal? for the wording.
  • A CallBooker account with an AI agent, a phone number and your calendar connected. The setup guide walks you through it.
  • A Lead API key (Starter plan and up): Dashboard → Lead API → Create key, and pick the agent that will make the calls.

Option 1: Zapier (no code)

Works with Webflow, Typeform, HubSpot forms, Facebook Lead Ads, Google Sheets and anything else Zapier connects to.

  1. Trigger: choose your form tool and the "new submission" (or "new lead") event.
  2. Action: Webhooks by Zapier → POST.
  3. URL: https://callbooker.com/api/v1/leads, payload type json.
  4. Data: map name, phone, email and notes (for example, what they asked about). If phone numbers have no country code, add country (like US).
  5. Headers: Authorization = Bearer cb_live_YOUR_KEY.
  6. Test it with your own number. Your phone should ring within seconds.

Option 2: Make

Add an HTTP → Make a request module after your form's trigger: method POST, URL https://callbooker.com/api/v1/leads, header Authorization: Bearer cb_live_YOUR_KEY, body type JSON with the lead's fields.

Option 3: from your own backend

If your form posts to your server, forward the lead in one request:

A few details that save headaches:

  • Keep the key on the server. Never put it in your website's JavaScript; the API doesn't accept browser requests for that reason.
  • Double submits are handled. If the same number is sent again within 30 minutes, you get the existing lead back with "duplicate": true instead of a second call.
  • Common field names work as they are (first_name, last_name, phone_number, message…), and extra form answers are passed to the agent as context.

Give the agent context

What the lead wrote in your form is gold. Send it as notes (or extra fields) and the agent uses it in the conversation: "I see you asked about pricing for a team of eight." Leads notice when the caller already knows why they reached out.

Get the results back

Every call ends with an outcome (booked, interested, callback, not interested, voicemail…), a summary and a transcript. You'll see them in the dashboard, and you can send them to your CRM or Slack with webhooks: add a URL in Settings and CallBooker posts call.completed, lead.status_changed and meeting.booked events, signed so you can verify they're from us. In Zapier, use Webhooks by Zapier → Catch Hook as the trigger.

Checklist before you go live

  1. Consent checkbox on the form, with clear wording.
  2. Calendar connected and booking settings set (meeting length, working hours).
  3. A plan for leads that arrive at night: CallBooker calls right away, so make sure late calls are welcome and allowed where your leads are (in the US, telemarketing calls are limited to 8 a.m.–9 p.m. local time).
  4. Agent tested on your own phone: greeting, your offer, and booking.
  5. Webhook or Zap set up for results, if you use a CRM.
